Who needs to register?

How to register

In order to apply to become registered with HIW you will need to submit a complete application. A complete application should consist of:

  • Fully completed application form
  • Statement of purpose
  • Patients’ guide
  • 2 personal references in relation to the applying Registered Manager
  • Medical reference in relation to the applying Registered Manager
  • Financial reference in relation to the applying individual or Ltd company
  • Copy of birth certificate in relation to the applying Registered Manager and Responsible Individual
  • Enhanced DBS certificate, issued within the last three years and carried out by HIW in relation to the applying Registered Manager and Responsible Individual.  If you require a DBS application pack we will post this to you once we receive your application to register.  Information and guidance on DBS checks can be found here
  • Last annual account, if any
  • Index of policies and procedures
  • A statement in relation to planning permission 

For laser/IPL services the following must also accompany all of the above:

  • Evidence of Laser Protection Adviser (LPA) appointment
  • Local rules
  • Treatment protocols, approved by a Medical Practitioner

We would prefer it if you submit an application electronically alternatively you can post a hard copy to our office at HIW, Rhydycar Business Park, Merthyr Tydfil, CF48 1UZ.  To submit the application electronically you will need access to our secure portal (Objective Connect), if you do not already have an Objective Connect account please email the Registration team at hiw.registration@gov.wales and we will set this up and send you instructions for access. 

We cannot process an application to register without all of the above being included. If you have any difficulties with providing all of the above please contact us at hiw.registration@gov.wales to discuss. 

Following receipt of your application we will check that it is complete and assess the information provided.  We will contact you (usually through Objective Connect) to let you know we have done this and explain the next steps.

Registration fees

Most applications to register an independent healthcare service incur a fee. One your application has been accepted we will email you a form for completion so that a Welsh Government finance account can be set up.  This will enable us to raise invoices for any relevant fees throughout your application/registration.  Once the account has been set up we will issue an invoice by email for the registration fee.  Instructions on making a payment will accompany the invoice.

Annual fees

Most registered independent healthcare services have to pay an annual fee to remain registered.

Your annual fee is due one month after the date of registration.  This covers the first years registration and annually thereafter on the anniversary of the registration date. We will issue the relevant invoice by email and this will include instructions on making the payment.

The law

Independent healthcare services must be registered with HIW before being able to provide any private dentistry in Wales as legally required by the Care Standards Act 2000

The Registration of Social Care and Independent Health Care (Wales) Regulations 2002 set out the information and documentation that must be submitted with your application to register.

To grant your application to register  we must be satisfied that you will comply with The Independent Health Care (Wales) Regulations 2011 and the National Minimum Standards for Independent Health Care Services in Wales.

The fees which are legally payable are set out in The Independent Health Care (Wales) (Fees) Regulations 2011.
